4. Enquiries and Proposals

A proposal or quotation does not confirm work until it has been accepted by both parties and any required payment terms, deposits, timelines or agreements have been confirmed.

We reserve the right to decline work where the project is not suitable, where we do not have capacity, or where the request falls outside our service offering.

5. No Guarantee of Media Coverage

Purple Word Box works to identify strong stories, package them professionally, pitch them to the right media and give stories the best possible chance of being used.

However, earned media coverage cannot be guaranteed. Editorial decisions are made by journalists, editors, publications, broadcasters and media platforms, and are outside our control.

We do not guarantee that any press release, pitch, article, interview request, media follow-up or PR campaign will result in specific media coverage, publication, ranking, reach, engagement, sales or business results.

6. Paid Media and Third-Party Platforms

Where paid media, sponsored content, press office placements, advertising, social media platforms, digital campaigns or third-party media platforms are used, the terms, pricing, approval processes, publishing timelines and performance of those platforms may be controlled by the relevant third party.

Purple Word Box is not responsible for delays, changes, rejections, technical issues, pricing changes, platform policies or publishing decisions made by third-party platforms, media owners or suppliers.

Any third-party costs will be discussed with the client where relevant and may need to be paid separately or upfront, depending on the agreed project scope.

7. Client Responsibilities

To deliver services effectively, we may require information, feedback, approvals, access, brand material, company background, spokesperson input, images, reports, documents or other content from the client.

The client is responsible for ensuring that:

  • Information supplied to us is accurate, complete and lawful
  • They have the right to use any images, logos, documents or material supplied
  • Feedback and approvals are provided within agreed timelines
  • Internal stakeholders are available where needed
  • Claims, statistics, company information and technical details are checked before publication
  • Final approvals are given before content is submitted, published or distributed

Purple Word Box will not be responsible for delays caused by late information, late feedback, unavailable stakeholders or incomplete client input.

8. Content Approval

Content created by Purple Word Box may include press releases, articles, thought leadership pieces, reports, website copy, blogs, newsletters, LinkedIn content, media pitches, case studies and other written communication.

Unless otherwise agreed, the client must review and approve content before it is submitted, distributed, published or used.

Once the client has approved content, the client accepts responsibility for the accuracy of factual statements, company information, claims, figures, names, titles and any other information supplied or confirmed by them.

9. Fees and Payment

Fees, payment terms, deposits, retainers, third-party costs and billing arrangements will be confirmed separately in writing.

Where monthly retainer services are agreed, the retainer fee, scope of work, reporting structure, meeting schedule, deliverables and cancellation terms should be confirmed in the relevant proposal or agreement.

Unless otherwise agreed in writing:

  • Work may only begin once required payment arrangements have been confirmed
  • Invoices must be paid by the due date stated on the invoice
  • Late payment may result in work being paused
  • Third-party costs may need to be paid before external bookings or placements are confirmed
  • Additional work outside the agreed scope may be quoted separately
10. Cancellations, Pauses and Changes

Cancellation, pause or change requests must be provided in writing.

Where work has already started, the client may still be responsible for work completed, time spent, third-party commitments, supplier costs, booked placements, strategy work, drafting work, research or other approved project activity.

For monthly retainer services, cancellation notice periods should be confirmed in the signed agreement, proposal or written service terms.

11. Intellectual Property

All website content, text, graphics, brand elements, design elements, service descriptions and other materials on this website belong to Purple Word Box or are used with permission, unless otherwise stated.

You may not copy, reproduce, distribute, edit, publish or use our website content, branding or materials for commercial purposes without written permission.

For client work, ownership and usage rights for final approved deliverables should be confirmed in the relevant proposal or agreement. Unless otherwise agreed, Purple Word Box may retain ownership of working files, drafts, strategy documents, concepts, templates, processes and internal methods used to create the final work.

During a client relationship, both parties may share confidential business information.

Clients must also protect any confidential information, strategies, documents, pricing, proposals or materials shared by Purple Word Box.
